Paying a factoring company for work done by a 10-99 contractor question.

Hello, thanks for any advice in advance. If this is not the correct place, I apologize. In November 2022 a contractor performed a job to completion. The invoice was sent to me via a factoring company with a Notice of Assignment document. We require a signed BOL and W9 to process the payment. No W9 was provided so the invoice sat until we received proper documentation. The factoring company called to check on the unpaid invoice to which we said that we are still in need of a W9. The factoring company sent a 2022 W9 on behalf of the contractor that happens to no longer be in business. My question- Do I need a 2023 W9 for the contractor to process the payment to the factoring company since technically this is a 2023 payable? Or, how do I handle this for tax purposes? Thank you!

I need to issue a 1099 to a contractor and we double paid an invoice for them in December. The same invoice was paid twice. They will send us the money in January so this entry will be booked in January because we are on cash basis. Do we show this double payment on the 1099 ($20K vs $10K) or how do we deal with this? Thank you!

10-99 Contractor paid but never set up in quickbooks. Help is appreciated.

Excuse my lack of knowledge here. When a contractor is setup in our quickbooks, they enter their information/w9 and are paid through our “payroll/payables” account. A contractor reached out who was paid roughly $1400 last year but was never setup in the system that I can find at all. So he is asking for his tax documents and never received them. I can find the checks he was sent but no other documentation whatsoever. How (if possible) can I get him the documentation he needs? Can I set him up retroactively? Every contractor was accounted for but it looks like he (the company) was never entered at all. Thank you in advance!

a client dropped off original documents on one of our busiest days of the year. we are unable to locate them. how do we proceed with the client? do we inform them they more than likely will have to file an extension now? is it their responsibility to go about requesting new documents like w2s, 1099s etc?
